We collect information you voluntarily provide through our contact and diagnostic forms:

• Business data: company name, professional profile, sector, team size, location, tools, requirements and project details
• Request content: subject, message, diagnostic answers and chatbot conversation submitted with a callback request
• Scheduling data: proposed date and time for an OptimalSite presentation
• Partner applications: company, activity, market, audience, typical clients and proposed referral method
• Referral attribution: the code of an approved partner when a form is submitted after using a personal referral link
• Newsletter data: email address, optional first name, language, subscription source, consent date, subscription status and delivery history

The Site does not collect payment-card information.

With your prior choice, optional measurement tools may also process technical navigation data. Form fields are never sent as analytics or advertising event parameters.

4. Data Storage & Retention

Submissions are delivered through a protected server endpoint to Google Apps Script, stored in a private Google Sheet and notified to optimalprompt@gmail.com. General requests are kept only for the purposes described above and for no longer than three years after our last interaction, unless a longer period is required to establish or defend legal rights or comply with law.

Newsletter subscriptions remain active until you unsubscribe. After an unsubscribe request, the address is excluded from future campaigns. A limited record of the request and prior consent may be retained when necessary to honour the suppression request and document how it was handled.

Because these providers operate in the United States, international transfers may occur. We assess the transfer mechanism and safeguards applicable to the service configuration in use.

5. Data Sharing

We do not sell your personal information. We do not share your data with third parties except:

• Google LLC — form and newsletter data processing and storage through Google Apps Script, Google Sheets and email delivery
• Vercel Inc. — website hosting
• Google Analytics 4 — only if configured and after you enable analytics
• Meta or LinkedIn advertising measurement — only if later configured and after the corresponding consent
• As required by law or to protect our legal rights

6. Cookies

The Site stores an essential preference so it can remember your choice for up to six months. When analytics storage is accepted, a valid partner referral code may also be stored for up to 90 days so a later form submission can be attributed to the approved partner. Without that choice, the code is used only during the current page session and is not retained on the device. Optional Google Analytics 4, Meta Pixel and LinkedIn Insight Tag code loads only when both a corresponding identifier is configured and you have enabled that category. You can reject all without losing access to the Site or its forms, change each category, or withdraw all consent at any time through “Cookie settings” in the footer.

7. Your Rights

EU/EEA residents (GDPR) have the right to:

• Access the personal data we hold about you
• Request correction or deletion of your data
• Object to or restrict processing
• Request data portability
• Lodge a complaint with your local supervisory authority

Every newsletter contains a personal unsubscribe link. The confirmation page changes the subscription status so the address is excluded from later campaigns.

9. Children's Privacy

Our services are not directed to individuals under 16 years of age. We do not knowingly collect personal information from minors.
